Useful automation addresses a specific problem: scattered documents, frequent re-entry or reports that take too long to prepare. Before choosing a tool, describe the task and how you would recognize an improvement.

1. Choose a recurring task

Collecting documents, preparing a periodic report or organizing an approval can be starting points. Note the frequency, time spent and errors or rework encountered. Initially set aside tasks whose rules change every time they are performed.

2. Document the steps and exceptions

Write down what triggers the task, the information needed, the expected result and who validates it. An invoice without a reference or an unusual amount should follow an established rule. If the process remains unclear, simplify it before automating it.

3. Check the data and tools

Inventory the software, access permissions, formats and licences. The solution may use tools already in place. Microsoft 365, Power Automate, Power BI, QuickBooks Online or Dext are considered based on their suitability and what is actually possible for the engagement.

4. Keep the necessary checks

Automatic preparation is not approval. Define who checks results, how exceptions are flagged and how to return to the previous process. Steps involving a payment, an entry or an important communication require clearly assigned responsibility.

5. Measure results over a comparable period

Compare processing time, rework and omissions before and after implementation. Account for licences, configuration and maintenance. Document the method so another person can take over the process.

Illustrative example

A monthly report requires several copy-and-paste steps. The first task is to standardize the sources and calculation rules. Refreshing the report can then be simplified, while someone checks totals and variances before distribution.
